How To Follow Up With Live Leads Recipients




When sending a Live Lead eDM you have the option of selecting either a 'Automatic' or 'Manual' follow up. These follow-up options are available on both Live Lead and Email Campaign templates. 

Automatic Follow Up

You can setup pre-defined Campaign Settings by navigating on the LHS menu to Settings/Sales Pipeline Settings/Campaign Settings 


 

1. Click the '+' icon in the Grey Action menu and the 'Add New Email Campaign Setting' screen displays 
  1. Enter a Name
  2. Type will default to Event Type - Live Leads Follow Up but you can choose another type.  This will be the calendar event type that will be used when the follow up process adds events to new or existing leads. 
  3. Campaign is not a compulsory field - but will be the Campaign that is used when new leads are created as a result of the Follow Up process. 
  4. The Group Recipients Automatic Follow Up Lead Owner is - the user that will be the owner of any new lead created as a result of sending a Live Leads email to a Group.  Please note if the Live Lead email is built from existing leads, any follow up lead is automatically assigned back to the original lead owner. 

2.  Choose the Follow Up Setting 
  1. You can choose to create a follow up action once the Email is Opened or if the Video is Viewed.   
  2. On choosing Video Viewed you will need to define a Video View Threshold - it will automatically update to 1 
3. Save and Manage Your Setting 
  1. On Save of your record the Record Details section will display 
  2. From the Grey Action menu you can delete the setting and if you have the View Audit role you will see the Audit records.

3. Follow Up Setting Automatically Applied 
  1. Once this setting is in place it will now display as a Follow-Up Setting when you are sending a Live Lead. 
  2. Once the Follow Up options are met then the following actions will happen automatically;
    1. If the original lead was Open - A Calendar Event with the type 'Live Leads Follow Up' will be created
    2. If the original lead was Closed - A new lead is created according to the settings defined in your Follow Up setting.

Manual Follow Up 

1. Alternatively you can choose to manage your Follow Up settings manually on a case by case basis. 
  1. Navigate to the View Results section on your Email Campaign.
  2. Click the 'multi-select' icon next to the keyword search in the grey menu bar.  This will expand the select and clear all options and you will see the select box now displays next to each recipient.

 


2. Manage Your Follow Up Setting 
  1. Select one or many records and click the plus icon in the Grey Action menu and the Create New lead and Schedule Follow Up pop-up displays.


 

  1. Where New Leads are created you can choose the Lead Assignee and the campaign, and if only one recipient is selected the Listing option will also display and this will show each  of the listings on the campaign from whichyou can make your selection..  
  2. A calendar event wil be created on the newly created lead, and for records where an open lead exists,  you can choose Date and Time, Type and Title for this event 
  3. Click Save and this will run a routine to update each  of your selected recipients.'

Reviewing Your Results

1.  From the Email Campaign, Expand the Results and click View Results this will show the Action Taken on each of your email recipients.



2.  Clicking on the blue plus icon will give you the option to view the contact, the original lead and if applicable the new lead.
