Navigating AutoPlay Analytics

AutoPlay Analytics is a powerful new reporting platform available to dealers that utilise the AutoPlay Sales Pipeline.  The platform is incredibly flexible and provides Sales Pipeline users with a wealth of information at their finger tips.  AutoPlay Analytics includes;
  1. A pre-built default set of report dashboards built to provide OEM's, Dealer Groups and Dealerships with relevant, timely and actionable insights into their lead management performance
  2. Fully customisable widget filtering with the ability to slice and dice data reports to present data to individual users the way they want it presented
  3. Enables users to set up personalised report dashboards at User, Dealer or Group level - building their dashboards to contain the widgets that mean most to them
  4. Flexibility of set up - build report dashboards presenting by Dealer or by report
  5. Click through to view actual Lead records in AutoPlayAuto.com
  6. Improved performance and stability over AutoPlay legacy reporting
  7. Enhanced reporting presentation giving more insight to end users (incl comparisons to previous periods and new one glance widgets making reporting easier to understand than ever before)



AutoPlay Analytics can be accessed via SALES PIPELINE>ANALYTICS REPORTING in AutoPlayAuto.com as well as directly via https://reporting.autoplayauto.com/ (using the users normal login details).  Upon logging in Users will be presented with the default set of reports configured for their login.  To find out more about how AutoPlay Analytics can be customised and deployed click HERE.




1.  HOME 
Every account is made up of a number of 'report dashboards' which can contain any number of 'widgets'.  Widgets are the individual pieces of data and come in 3 types;
  1. KPI Widgets - small individual KPI's designed to provide a high level overview at a glance
  2. Charts - pie, line, bar and other graphs giving more comprehensive visualisation
  3. Tables - data tables that provide more granular detail to support KPI Widgets and Charts.  Can be designed as a summary of data, or display individual records
The report dashboard is just a collection of pre-determined widgets.  As a default set AutoPlay provides one 'Home' dashboard made up of many related and unrelated widgets, as well as a series of report dashboards dedicated to a particular type of data (i.e. Overdue Leads, Closed Lost Lead, Data Quality).  However Users are able to hide these default report dashboards and build their own as desired.  To find out more about how AutoPlay Analytics can be customised and deployed view the article AutoPlay Analytics - How to personalise and manage AutoPlay Analytics reporting.

The name of the Report Dashboard is displayed near the top of the screen - in the example above this report dashboard is labelled 'HOME'.  The icon next to the report dashboard name indicates this is a shared report that multiple users see.  

2. SHORTCUT MENU
Each report dashboard you have set up will be represented as a red dot at the top of every Analytics dashboard.  The report dashboards can be cycled through using the < and > arrows, or by clicking on one of the dots.

3.  MAIN NAVIGATION MENU
The main navigation menu is located on the LHS of Analytics and defaults to it's collapsed state - showing just the icons for each report dashboard you have configured.  Clicking on the burger menu will expand the nav menu to display the report dashboard titles.  The icon silhouette will display whatever image each user has uploaded to their User profile in AutoPlayAuto.com and the Users name will be displayed immediately under this icon.  

 

All shared Base set reports will be displayed as grey in the menu, whilst red will be used for Group, Company or individual User reports.  At the bottom of all the reports is the option to '+New Dashboard' which enables the user to build his own custom report dashboard containing whatever widgets they prefer, filtered however they want.  To find out more about how dashboard visibility works in AutoPlay Analytics click HERE.

 

4.  MASTER FILTER
There are two ways to filter data in Analytics.  You can filter individual widgets using the Widget Filter - the Widget filter is "sticky" after logout and is only visible on widgets where the user has rights to configure the default Widget Filters.  Conversely the Master Filter is available to all users and is located in the top right corner of Analytics.  This filter will only affect the report for the duration the report is viewed and will affect ALL widgets on the currently viewed report dashboard.  



The filtering options relevant to each widget vary depending on the kpi widget, chart or table but the Master Filter will provide the following options to refine what data is included in your kpi widget, chart or table;;
  1. Date range - choose from pre-set date ranges or add a custom date range
  2. Previous Period - selected reports will have the ability to set a second comparison date range
  3. Dealership - filter by selected Dealers (if logged in Group accounts)
  4. Yard - filter data by selected Yards
  5. Salespeople (incl Inactive) - filter by specific Users including Active and Inactive
  6. Makes - filter returned data by specific Makes
  7. Models - filter returned data by specific Models
  8. Listing Type - filter returned data by New, Demo, Used or No Listing
  9. Source - filter returned data by specific lead Sources
  10. Campaign - filter returned data by specific Campaigns
  11. Sub Campaigns - filter returned data by specific Sub Campaigns
All filtering options can be searched via keyword to narrow down long lists of options.  Clicking on each option will select that particular option, and multiple options can be selected at once.  Users can click 'Select All' to select all the filter options and then tick specific options to unselect.  The current selection can be cleared using the 'Deselect All' option.  This will wipe all the filtering and return all data again.  When you have finished refining filters for a particular option click off the filter to proceed and hit the red 'UPDATE' button to apply your filters.  



The filters in this menu control what data is included and excluded in your report dashboard.  The visibility of data is still controlled by your role management - in short if you cannot see the data in your AutoPlayAuto.com dashboard then don't expect it to be visible in Analytics.  

Some filters will have the 'Inactive' option to filter by active records (i.e. Salespeople who currently work at the dealership) vs Inactive records (i.e. Salespeople who might have leads against them in the past, but are no longer actives user in the AutoPlay account).  



The Date Range filter has pre-set date ranges (This Month, Last Month etc), but there is also an option for 'Date range'.  When selected this option will result in a set of date pickers to select the Date Range to apply to your report.  Here users can set any date range they want (we don't recommend running for longer than 12 months at a time as this can take some time to generate the report).  There will also appear a 'Previous Date Range' date picker.  As it is the Master Filter this is visible on all report dashboards, but this is only relevant to certain line chart widgets such as the Daily Activity Performance chart and can be used to compare a like period in the past, the equivalent length period immediately before the current date range or a completely unrelated date range.



There is also a 'View By' filter in the Master Filter popup.  This is only applicable to data table widgets where the table can be configured to display data by Dealer, Yard, Salesperson, Make, Model, Listing Type (New, Demo, Used), Source, Campaign, Retail/Non Retail.  This enables Users to slice and dice their data - for example filtering by specific Source and Make, but viewing by Salesperson.

5. HELP
Clicking on the 'i' icon opens up a 'Info' popup that explains what the report is measuring and the logic of the report calculations.  This can be made up of text, images or even video.  Each report widget has it's own specific 'Info' text that details the functionality of that particular widget.  The 'Info' text is global and can only be updated by AutoPlay employees with the correct role management.  To find out more about how AutoPlay Analytics 'Info' content is maintained click HERE




6.  MORE MENU
For smaller sized kpi widgets to save space the icon for help will not be displayed on screen.  Clicking on the MORE icon will reveal the Info icon in a sub menu, as well as the options for 'Refresh', 'Filters' (if applicable) and 'Close' to remove the widget from your report dashboard (if user has access).




7.  ADMINISTRATION
At the very bottom of the menu is 'Administration' which for users with the correct role management they will be able to modify visibility of report dashboards.  To find out more about how dashboard visibility works in AutoPlay Analytics click HERE.

 



Customising Report Dashboards

Analytics Report Dashboards come in several levels;
  1. Base Level
  2. Company/Dealer Level
  3. Group Level
  4. User Level
If the logged in user is viewing the Base, Company/Dealer or Group level report dashboards they will not be able to customise the layout or filtering of the report dashboard (with the exception of Managers in the 'Analytics Settings Admin' role at Dealer/Company level - read more about how management of report dashboards works HERE).

However if the User does have rights to a report dashboard there will be some additional options available to them.  By hovering on a widget a move icon will appear as illustrated below.  Users can then drag and drop the widgets to lay out the report dashboard however they prefer.

When adding widgets to your report dashboard to will default to a pre-determined size built into the widget.  KPI Widgets are locked to their default size, but Chart and Table widgets can be enlarged or shrunk to an appropriate size to fit your page design.  To resize a widget just hover on the corner of the widget until you see a re-size icon appear.



You can then drag the chart or table as large as you like.


This enables users to play around with report layout to suit their preferences.

  


Unlike past iterations of AutoPlay Reporting, Analytics does not pigeon hole Users with the types of widgets they add to a report dashboard.  When the user has rights to add new widgets to a report dashboard they will see the '+ADD WIDGETS' button at the top right of the report dashboard.  If the user does NOT have rights to edit a report dashboard they will not see the '+ADD WIDGETS'  button on that particular report dashboard. 

The '+ADD WIDGETS' button allows users to add any widgets they desire to their report dashboard.  You can read more about adding widgets HERE.





If you are able to edit the report dashboards then you will be able to click on the X to remove a widget (don't worry - you can always re-add if you make a mistake).  For smaller KPI Widgets the 'Close' button will be hidden behind the MORE menu in the top rh corner.  





If a user cannot resize, move or modify the Widget Filters on a particular report dashboard then that means that the user does not own the dashboard personally, doesn't have the right role management set to edit Company level reports or the report is a shared Group or Base set report.  

In these circumstances all Users can create their own modified version of any report dashboard by clicking on the '+ New Dashboard' button in the lhs navigation menu.  You can read more about creating new report dashboards HERE.  Once created the user will have full ability to modify Widget Filters, move or resize as they see fit.  



When reproducing report dashboards to your own personal preferences it may result in several duplicate versions of the same report - your new personalised report dashboard and the Base/Company/Group version.  You read more about hiding Base/Company/Group reports HERE



Understanding KPI Widgets, Charts and Data Tables


A.  Chart Widgets - Analytics has a number of charts available in Analytics and these can be standard pie, donut, line or bar charts, or more specialised reports such as conversion funnels and gauges.  Each chart is designed differently to best present the desired info, however there are some consistent elements in all charts.



  1. Report Title - Each Chart widget has a default title.  This can be customised to append additional text to the title using the 'Title' field when in the Widget Filter menu (see 5 below).  The reports date range will be displayed as a sub-title under the report title.  Dates may be displayed as a date range, or for certain widgets as a single day.
  2. Report Content - Every Chart is designed for a different purpose, but many reports will display a increase/decrease vs the previous period - represented by the up and down % arrows.  For the majority of reports the previous period will be the previous equivalent length report period immediately prior to the reporting period.  Certain reports will allow users to specify a different report period as required.  
  3. Canvas Shortcut - If configured on a widget the Canvas icon will be visible on your chart widget.  This can be configured via the Widget Filter menu (see 5) by selecting another report dashboard via the 'Report dashboard' option.  When clicking on the Canvas icon you will be directed to the specified report dashboard.  
  4. Info - Contains information on what the report Chart is measuring and how it is calculated
  5. Refresh - Each time a report is access or refined the report will refresh automatically.  To force a refresh manually the 'Refresh' icon can be clicked on to force an update
  6. Widget Filters - The Widget Filters can be used to specify the set of data that will be included/excluded in the widget.  This applies ONLY to the filtered widget - the Master Filter can be used to filter all widgets on the report dashboard
  7. Close - Users can remove widgets using the X icon

B.  KPI Widgets - Analytics features a number of KPI based widgets designed to visually convey key KPI's.  These KPI Widgets are locked in size and are all designed slightly differently to best display the relevant KPI.  To conserve space KPI Widgets don't display the title, date range or any of the icons.  You can view what the KPI Widget is filtered by via the Widget Filters and access the Info, Close etc under the 'More' icon in the top right of the widget.  Some KPI widgets will display a green % increase or a red % decrease which is based on the period the report is run for vs the previous report period.  




C.  Data Table Widgets - The Data Table Widgets can be utilised to present more granular, detailed information on your reporting dashboards.  Each type of data table is designed for a different purpose and as such will have different columns and layouts.  The majority of data tables are summary level tables, though there are a few data tables that will display each individual Lead, Calendar Event, Test Drive etc on screen.  There are several consistent elements on data table widgets outlined below.  


  1. Report Title - As with Chart widgets each Data Table widget has a default title.  This can be customised to append additional text to the title using the 'Title' field when in the Widget Filter menu (see 5 below).  The reports date range will be displayed as a sub-title under the report title.  Dates may be displayed as a date range, or for certain widgets as a single day.
  2. View By Column - Apart from a few types of data tables most will have a View By column that can be changed to present your data table however the User prefers - regardless of the way that the data set is filtered.  The View By options are Dealer, Yard, Salesperson, Make, Model, Listing Type (N,D,U), Source, Campaign, Retail/Non Retail, but some reports may provide additional custom options.  The View By can be changed within the WIDGET FILTER as outlined in 11 below.



  3. Detail View Sub-table - Clicking on the down V icon on the far left of the data table will allow users to drill down to view the actual Lead records that make up the report.  This is not only useful for validation, but if the Lead ID is blue you are able to click through to open that lead in AutoPlayAuto.com.  This is particularly useful in reports that outline where action is required as you can click through to tidy up the lead without having to hunt it down later.  The click through functionality is only available for leads created within a account in AutoPlay - group dealers will not be able to click through to view the lead as they do not have rights to do so in AutoPlay. 

    This view contains some basic identifying information which can be filtered using the built in filter menu - useful if your list is long.  In addition if there a multiple pages of results these will be able to be navigated to using the page numbers in the lower lh corner of the window.  To return to a normal table view users can click on the up chevron icon to collapse the sub table.



  4. Total Count - Some data tables will include a sum of all the values displayed in the table.  
  5. Sort By - clicking on the Column Headings in the data table will automatically sort by the data in the column (alphabetically, highest to lowest/lowest to highest or chronologically depending on the data)
  6. Canvas Shortcut - If configured on a widget the Canvas icon will be visible on your Table widget.  This can be configured via the Widget Filter menu (see 11) by selecting another report dashboard via the 'Report dashboard' option.  When clicking on the Canvas icon you will be directed to the specified report dashboard
  7. Info - Contains information on what the report Table is measuring and how it is calculated
  8. Refresh - Each time a report is access or refined the report will refresh automatically.  To force a refresh manually the 'Refresh' icon can be clicked on to force an update
  9. View Raw Data - The View Raw Data button can be clicked on to view the full raw data set that makes up the data contained in the data table.  This data can be filtered and sorted on screen using the built in filters at the top of each column.  The View Raw Data function can take some time to render, and as such will automatically be disabled if the data set is calculated to be too large for the browser to effectively render on screen.  For small to mid size dealers this will be multiple years, but for some large volume dealers or Groups this could max out at 6 months.  If the View Raw Data button is inactive users can either try again with a shorted date range, or click on the Download button immediately next to the View Raw Data icon.



  10. Download Data - for larger data sets it may be far more convenient to download a copy of the raw data to use in Excel rather than trying to render on screen.  Clicking on Download Data will open a new tab - allowing users to continue using AutoPlay Analytics whilst their data downloads.  When the data is downloaded you will see a dialogue in the middle of the browser letting you know it is complete and the file will be available in your downloads.  Clicking OK will automatically close the window and return you to Analytics.  



  11. Widget Filters - The Widget Filters can be used to specify the set of data that will be included/excluded in the widget.  This applies ONLY to the filtered widget - the Master Filter can be used to filter all widgets on the report dashboard
  12. Close - Users can remove widgets using the X icon
