Auto Allocate New Electronic Leads
When a new lead is captured electronically (via email or API if not specified as belonging to a particular user in the API integration) - Dealers can now set up a Lead Management setting that users a 'Manager Rotation' instead of the 'Automatically Allocated' function that exists. The Lead Management setting can be set up by Make, Yard, Source and Campaign, so when electronic leads are received that match the correct criteria the Leads will be assigned by rotation to each of the selected Managers.
Creating the Lead Management Record
- On the Lead Management Setting is a new 'Use Manager Rotation' option. On tick the 'Managers' section displays.
- The existing function of Email Recipients, Outgoing Emails and SMS Recipients is still available.
Manager Selection
- Managers that display in the list are defined by the Yard settings that applied. For example if 'All Yards' are selected then All Users in the Manage Leads role will display, but if there are Yard restrictions then only those with the correct Manage Leads role will display.
- Warning messages will display if the same User is selected twice in the rotation
- Sort order of the rotation can be modified by dragging and dropping by 'clicking' on the 'arrow icon' next to the users name. When the sort order is changed the rotation will reset back to the first available user selected.
- The 'active' flag for the Users can be edited on this screen, and there is also on option on the 'My Details' screen that enables users to flag themselves as being 'On Holiday' - when this is selected the 'Active' flag is removed. When resetting a User to 'Active' this will reset the current rotation back to the first available user selected.

When customers scan the QR Code they are presented with a Visitor Book form. We have added additional fields the form;
- Company
- Purpose of Visit (this is a dropdown and Dealer specific, but may include Sales Lead, Test Drive, appraisal, Service, Parts, Supplier, Delivery, Other)
- Employee Visited (this is a dropdown and if QR Code is it Company Level it will include all AutoPlay Users, otherwise this can be Yard specific which is role based)
In addition on click of the Submit button, there is an additional step that will take customer's to the COVID-19 Disclaimer.
On click of the View & Sign Covid 19 Disclaimer Button the following will display.
When we launched the Visitor Book when a customer scanned the QR Code the dealership still had to check a customer in. If you are happy with this process you can continue using the service this way. However if you would prefer that your visitor is already checked in when scanning the QR Code contact
support@autoplay.co.nz and we can enable this for you. When the auto check in attribute is enabled on your Visitor Book role you will no longer have to check customers in - all your staff will need to do is check the customer out when they leave the dealership.
Visitor Book - Logo Displays on QR Code PDF and Webpage
The Visitor Book QR Code PDF and web page from now pulls through whatever logo you have loaded against the yard. Please note due to time limitations we loaded this with whatever logo was loaded for your dealership. If you wish to change this logo email

Vehicle Sanitisation on Listing

A new function has been enabled on the Listing details screen to allow a Listing to be recorded as Sanitised. This was previously linked to Test Drive and Leads, but in the event that a customer has only sat in the car, and therefore no Test Drive or Lead history is available, the Vehicle can be recorded as sanitised separately on the Listing form. This function is available to users with the 'Groomer' role and Listing Manager role.
The 'Covid-19 Vehicle Sanitised' feature is in the 'Fuel and Safety' section of the LIsting. On click of 'Add' the 'Vehicle Sanitisation' pop up displays for the User to sign.
In Market Leads - Match on Appraisals

In Market Leads allows Dealers to automatically match new or price dropped listings against previously captured leads - making buyer matching easy. This has now been expanded to allow Appraisals to also be matched, enabling Dealers to match potential buyers not just with the Listings that have available but also the Appraisals.
On the In Market Lead Dashboard there is an additional 'Listing Change' type for 'Appraisal'
On opening records with an Appraisal type match you have the option to
- Ignore
- Schedule a Follow Up or View Lead
- Make contact with the Salesperson of the Appraisal by either Email or SMS

SMS and Email Standard Text Tags

Automation - Lead Created

When Selecting Lead Created as a Trigger Setting, there is a new Type of Trigger Filter - 'Lead Import Source Type'. When this is selected the following values can be included or excluded as required.

To cater for Leads that are created that Dealers may wish to exclude from any Automation settings, there is a new setting in the Lead Details section.
Simply click the tick box and this will ensure the lead is excluded.

Automation - Managing Responses

When setting up an Email or SMS Response Communication Type on an Automation Record the ability to Preview the Email based on the 'Standard Response' template selected is now available.
In addition the ability to se up Default text for each of the Trigger and Communication Types is also available. These can be configured by accessing the 'Automation Defaults' screen on the LHS Menu.
- Click on the '+' icon to create a new Record
- Select Trigger Type and Communication Type (Email Notification, In App Notification, SMS Message and SMS Notification).
This Message will be Pre-populated when this Trigger is created in the Automation settings screen.
Reply to SMS Messages Received

A new feature is available on SMS Communications in the Appraisal and Lead forms. When using the SMS Gateway on Autoplayauto.com to reply to a SMS communication, Dealers can reply directly from the message. When clicking into the received message a new 'Reply' field is available. When using the Reply function a new message is added to the 'Communications' section of the Lead.
Assorted Bugs and Fixes
- SPW-3549 - The ability to navigate to an Appraisal was possible via https://autoplayauto.com/TradeIn/Edit/xxxxxx - where xxxxx is the Appraisal ID - unless you are the lead or appraisal owner then this link will redirect to a view only mode.
- SPW-3598. SMS Notifications will now trigger when Dealer has Standalone Appraisal role. There was previously a dependancy on the notifications firing based on the lead - this has been removed for Standalone Appraisals.
- LM-1797 An additional column has been added to the Template File for Lead Ingestion to include 'Notes', and have been mapped to the notes on the Lead.
- SPW-3592 SMS Tags from automation have been replaced with relevant content.
- SPW-3635 The timeframe for calculating untouched leads to trigger the automation setting has now been resolved.
- SPW-3585 The Automation function was not using timezone settings correctly - this has now been resolved.
- SPW-2906 Contact, Lead, Test Drive & Appraisals Details screens are now able to display all VMS child record attached to the parent records
- SPW-3612 Dealer Group campaigns were not displaying in the Lead Management setting screen - this has now been corrected.
- SPW-3655 Appraisal Wholesale Quote amounts that are sent via text message were including numbers in the text e.g., engine size or year of car as part of the quote amount. These have now been resolved.
- SPW-3611 - Only Appraisals with Images are allowed to be exported to RIPA.
- SPW-3571 - The new TradeMe API requires that AutoPlay send the deleted listings to them so that they can be deleted. This changes the existing process where current listings are sent and the ones not in the file are deleted. A new flag LISTING_EXPORT_DELETED has been created that needs to be set to false in SPW in case a user changes the listing status from deleted to current.
No front end changes have been made.
