AutoPlayAuto.com features a built in calendar that allows salespeople to schedule follow up events on their leads. There are several ways to schedule follow up on your leads.
1. Scheduling Follow Up From The Dashboard
You can schedule follow up from the Dashboard by clicking on blue + icon in the 'Customer' column. You can then click on the calendar icon to schedule follow up without having to open the lead.
2. Scheduling Follow Up From A Lead
When viewing a lead you can schedule follow up via the + New Event button within the 'Calendar' icon in the grey action menu, or via the 'ADD' button in the 'Next Action' section.
When creating a Calendar Event you need to complete the 'New Event' popup. You need to complete the following fields;
Title - The 'Title' field is mandatory and can be used to describe what sort of follow up is required
Type - The 'Type' field is also mandatory and allows users to select from a list of pre-set Event Types. The list includes;
Phone Inbound & Outbound
Email Inbound & Outbound
Visit Inbound & Outbound
Booked Test Drive
Delivery
48 Hour Follow Up, 3-7 Day Follow Up and 14 Day Follow Up
Attempted Contact
Notes
Live Leads Follow Up
SMS
Post Sales Follow Up
Date/Time - Defaults to the current Date and Time
Notes - Any Event Notes specific to this scheduled calendar event
Once you have completed all the relevant fields you need to click on the 'SAVE' button to create your calendar event. The event will appear within the 'Next Action' section on your Lead.
3. Scheduling Follow Up Via The Calendar
If you click on the 'View Calendar' button in the grey action menu you can access a calendar pop up. Selecting a day will display a green 'ADD' button which will allow you to create a new Calendar Event. When you create a Calendar Event from the calendar the date will be set for whatever date you have clicked on (instead of the current date/time).
4. Scheduling Follow Up Via Bulk Manage
It is also possible to schedule follow up events in bulk for multiple leads by using the 'Bulk Manage' function. To find out more about this process click HERE.
5. Calendar Events And The Dashboard
The dates set on the calendar event affects when your lead becomes visible in the Lead Dashboard (if filtering by 'Action Date').
The Next Action Date is based on the date of the next incomplete calendar event. If there are multiple incomplete Calendar Events the oldest incomplete calendar event is selected
If one of the multiple calendar events is completed the Next Action date will fall back to the next oldest incomplete calendar event
If there are no incomplete calendar events the Next Action date will fall back to the latest updated date of the Lead (completing a calendar event does update the leads Updated Date)
If there are no calendar events at all the Next Action Date will fall back to the updated date of the Lead. If it is a brand new lead this will be the same as the Lead Created Date
