Visitor Book Dashboard

This guide provides an overview of the Visitor Book Dashboard where records can be searched, filtered and downloaded.  



Visitor Book Dashboard Columns 

  1. Type - The sub categories within business type - for Dealerships they are (Sales Lead, Test Drive, Appraisal, Service, Parts, Supplier, Delivery, Other)
  2. Details - Visitor Book ID OR if it is a summary of Lead, TD, Loan, Prospect, Standalone TD or Standalone Appraisal then the associated Lead ID AND the assoicated TD and Appraisal ID’s
  3. If you have populated the rego field when choosing TD or Appraisal on the Visitor Book form this ID should be shown here.
  4. Customer Details - First & Last Name, Company Name, Email, Mobile/Phone
  5. Visiting - Username (defaults to your own but can filter to all users )
  6. Scheduled Arrival - Not Pictured - based on Scheduled Arrival Date.
  7. Date In - Standalone TD and Check In from Visitor Book records. IF record Date In is blank on a Visitor Book record (not a lead) then display by Scheduled Arrival.
  8. Records are sorted by Check In Date, or if blank Scheduled Arrival
  9. Date Out
  10. Shortcut Button to enable Check Out

Visitor Book Dashboard Filters

The ability to Filter by 
  1. Date Range -  Defaults to todays date but can do all the usual days incl Custom. Display of records on the Visitor Book are controlled by the Date In based on Check In on Lead Lead, Check In for Standalone Appraisal, Check In on Standalone TD and Check In from Visitor Book records. IF record Date In is blank on a Visitor Book record (not a lead) then display by Scheduled Arrival.
  2. User (all Users with the Visitor Book role)
  3. Yards (All Yards set up with the Visitor Book role)
  4. Type (Sales Lead, Test Drive, Appraisal, Service, Parts, Supplier, Delivery, Other)
  5. Status (In Premises, Out of Premises, Scheduled) 
  6. Visitor Type (Customers, Employees)

Shortcuts

The 'Blue +' icon on the Visitor Book Records are a quick shortcut to Check In or Out and send out SMS Notifications as required.  
  1. Scheduled Records will display the option to 'Check In'
  2. Checked in Records will display the options 'Check Out', 'Send Invite SMS' and 'Send Check Out SMS'


Additional functionality

in addition to searching for existing records, Users can create records from the plus icon.




Users can download an Excel file of all filtered records, from the More menu.  Click Download List, and a seperate browser window will open with the Filtered Records.
