Offer To Dealer Group
A new Group Type has been added - 'Group Type Visibility'. When Dealers are added to this Group Type they will be able to see Appraisals logged by each Dealer within that Group and if bidding is enabled then Users will be able to place bids on these Appraisals.
Setting Up the Group Type
- Set Up Group Type 'Group Account Visibility'
- Add Make or leave blank to apply to 'Any Make'
- Set Trade In Offer Time Limit (Hours) - this setting determines how long Dealers within the Group can place Bids on the logged Appraisals
- Add Dealers
Role Management
- Only Users added to the 'Group Account Visibility' Role can send out Appraisals as Group Offers.
- When Allow Bidding is enabled on the Role, then users added to the role will be able to place Bids.
- A restriction on Make exists on the Role - note if the Group setup as a Make then this will restrict what Makes will use the 'Make Offer' function.
- If a Dealer requires some users to have bidding on, and then other users to have bidding off, then two separate roles can be added to the Account.
Note: The Make restrictions on the Group setting and Role Management apply to the Make on the Lead
Making An Offer
When an Appraisal is created and saved, if it matches the Group Visibility criteria, the 'Make Offer' icon displays in the Grey Sub Header menu
- On Click of the Icon, the 'Group Offers' section displays and the 'Make Offer' changes to display with an 'X' with an option to 'Withdraw the Offer'
- A notification is sent to all Dealers within the Group advising that an offer has been made.
Bidding Dealers
- Dealers within the Group receive a notification advising an offer has been made
- From the Vehicle Appraisal List screen there is an additional filter which enables users to switch between 'In Group' and 'In Dealer' Appraisals
- For the time period defined in the Group setting screen, the Appraisal displays on the List screen, and can be opened, reviewed and bids can be placed.
- On opening the Appraisal the Customer details have been removed and will display as Private and the Valuation section will not display, in addition the Reconditioning items will display with no value.
- All other Vehicle details will display.
- The 'Our Bids' section displays. Enter 'Bid Value' and click 'Submit Bid'. Subsequent bids can be made and the Appraising Dealer will only see the most recent bid made.
Accepting and Withdrawing the Offer
- At any time during and after the Bidding period, the Appraising Dealer can Accept Bids, or Withdraw the Offer.
- On Accepting the Bid the Contact Details of the winning Bidding Dealer will display and the status will change to 'Provisionally Accepted'. At this stage the Offer can still be resubmitted. This will create a new offer on the Appraisal and cancel the accepted bid.
- The unsuccessful Bidding Dealers (due to either No Bid or Bid not accepted) will display with status 'Offer Declined'.
- If the Offer is Withdrawn and not Re-offered the Group Offer section will no longer display in the Appraisal and will no longer be visible to Bidding Dealers.
- If an Offer is Withdrawn and Re-offered then a 'History' section will display showing that bids were previously declined.
Include Inactive Flag
- On the Sales Pipeline Dashboard we have an ‘Include Inactive’ flag on the User, Source and Campaign Filters. This flag is also now available on the Vehicle Registry User filter as well.
- We have ensured that when you have this flag enabled or disabled on the Dashboard, it will follow the same state on the Vehicle Registry screen. In addition the ‘Include Inactive’ settings across all available fields will be retained on your Browser settings.
UK Dealer Changes
- For UK Dealers with the Privacy Enhanced functionality, when selecting Marketing Channels, multi-select is now available across channel and method - alternatively a Select All flag displays.
- On click of the View and Sign button on the GDPR/Drivers Licence Verification Consent, the signature tab is the default tab. Previously this opened on the Terms tab.
- On click of the DVLA Driver Licence Check, a prompt to confirm Licence number displays prior to the signature tab.
- In Kiosk mode when a match is made on existing customers then a summary of any previous completed Test Drives will display.
Porsche CAP - New Role
- Dealers who have this role assigned will have Leads, Appraisals, Test Drives, Write Ups and Wish Lists as read only, and only be able to add Assistance Requests to existing Leads.
- There is an attribute on the role 'Can Edit Appraisal' and when this is enabled then Users will have the ability to add Assistance Requests AND Appraisals to existing Leads only.
- Full access to Listings and Loan car forms if Role Management allows.
Lead Audit Report Changes
With the addition of the Close-Lost Permission role, three additional date fields have been added to the report
- Close Lost Pending Created
- Close Lost Pending Declined
- Close Lost Pending Approved
Automation - Australian Dealers Only
Australian Dealers wishing to set an automated process of creating various event types based on certain actions the Automation screen under Sales Pipeline Setting has been created.
The Automation record will require;
- Name - specific to Dealer
- Trigger - there are a number of trigger options which will then have varying options of Trigger filters and / or different event types which are outlined below. The Trigger options are:
- Lead Closed Lost
- Lead Closed Won
Lead Overdue
Lead Progress Sold
Lead Stalled
Test Drive Completed
- Active flag must be set
- The Automated records can be set by Yard
The following provides an overview of each of the Trigger / Actions for each Automation Type
Lead Closed Lost
- On selection of Lead Closed Lost, the 'Trigger Filters' section will display allowing users to determine what Closed Type reasons are included or excluded.
- For example if you wish to exclude Closed Lost leads that have been closed with reason type 'Duplicate/Loaded in Error', then all other reasons will be included.
- Or if you wish to only include Closed Lost reason type of 'Delayed Purchase Reason' then only leads that match this criteria will be included.
- There is no limit to the number of exclude and include records.
- Once the Trigger filters have been determined the following Communications types can be selected and the corresponding response template should be selected.
- Email Response
- SMS Message
- SMS Response
- Multiple Communication types can be selected
Lead Closed Won
- On selection of Lead Closed Won only the Communications section will display

Lead Overdue / Lead Stalled
- When Lead Overdue is selected a new field 'Check Trigger' displays which is limited to a 'Every Day' check, with the option of selecting a time for the Check
- The ability to further define the number of days after the lead is overdue can be added to the trigger.
- Once the Trigger settings are met, then the following actions can be selected
- Closed Lead as Lost
- Create Calendar Event
- Multiple Events can be created
- They can be set to create at the time the trigger conditions are met, or delayed by a period of 30 minutes through to 1 year.
- The Reference field will be added to the Calendar Event
Lead Progress Sold
- When Lead Progress Sold is selected the Actions setting will display, with the ability to select Types;
- Closed Lead as Lost
- Create Calendar Event
- Multiple Events can be created
- They can be set to create at the time the trigger conditions are met, or delayed by a period of 30 minutes through to 1 year.
- The Reference field will be added to the Calendar Event
Test Drive Completed
- In addition to the Communications section, when a Test Drive is completed there is also an option to include Attachments. This is currently limited to the Test Drive Terms & Conditions
Updating Progress on Event Creation
The ability to 'Update Progress' on all Calendar events has been introduced.
Introduction of Quick Action Buttons for the Lead Screen
- Icon's have been introduced to show at a glance the number of communications for Email, Phone and SMS.
- On click of the icon then each communication type function will be called.
Insurance Waiver T&C's for Test Drives and Loan Car
- A new Image Type has been created called 'Insurance Waiver'. When this image exists the Insurance Waiver accordion will display on both the Loan Car and Test Drive Forms.
- On click of View & Sign the Waiver will display and the Customer can sign the form (similar to the Test Drive option with a Date/Time and tick box 'Waiver Accepted'.
- It is not compulsory to sign the Insurance Waiver.
- The Vehicle Registry screen has been modified to add an Insurance filter where options are;

Account Manager details Available from My Details
- Autoplay Users have a Section on their 'My Details' screen called 'Account Manager Settings'. When these settings are configured, these Users will display as an option on the My Company section of Dealers who match the 'Account Manager Country'.
- Where Show In Menu is selected then their Account Manager details (Name (on click this will open an Email) and Mobile) will display in the My Details dropdown from the Grey Menu bar for those Dealers that have selected them as their Account Manager.

Receive Kiosk Lead Notification
- Receive Kiosk Lead Notification is a new role created to trigger a notification when a new lead is created by a Test Drive Kiosk User.
- The role would be Yard, and User based. It would not have managers.
- The users added to the role would by default get a notification whenever a new lead was created by the Test Drive Kiosk User.
Note : If you need to add the Kiosk user as a non manager, and then the ones to recieve the notification as managers then this is also fine.
Email Templates - introduction of @'database field name'
- For Autoplay Staff only the Email Template screen now has the ability to add quickly Database fields that maybe required. By Clicking on Edit Mode on the Main Template and using the '@' symbol a list of the available database fields display which can be then added to the Template.
Small Bugs and Minor Enhancements
- For UK Clients, the Email PDF and Print options have now been enabled - they were previously presenting an error.
- In Email Settings\Email Templates the download list to both PDF and Excel has been fixed.
- When a Closed Lost Request is waiting for approval, and it is then put in a Closed Won or Closed Lost Status manually, i.e., overwrites the Closed Lost Request, then the Approval status is automatically to Approved if in Closed Lost, or Declined if Closed Won.
- 'Fusion Username' has been added to the Mail Settings section of the My Company screen.
- Reference field has been added to the details section of the Lead Campaign field.
- The Vehicle Appraisal Manager Approval role has the ability to set at a User level a 'Send SMS' flag - this setting was not being retained when the record was closed. This has now been resolved.
- Matching Appraisals and Appraisal Summary has been modified to include the Adjusted Trade in Offer.
- The Manager Checkbox in the Role Management, Users section not being retained has been resolved
- An issue where some users were not seeing leads for Group owned yards has been resolved.
- The ability to use the Escape ('Esc') key to close the pop-up and screen that was last opened - for example if a screen with multiple sub-menu's is opened, the sub-menus will be closed in the reverse order that they were opened.
- The Sub-campaign menu item is now avail for non-Autoplay users.
- Resolved the Timezone in the Yard screen not populating correctly.
- SMS Outbound Report has been modified to include Wholesale, Campaign and an Adjusted Total which reflects the number of messages sent - for example if a message is sent that is longer than 160 characters it will send as 2 or more messages.
- When a Live Lead or Email Campaign is sent via email or sms, should a customer reply then the reply is captured either on the customer record or if an open Lead exists then it will be added straight to the Lead.
- The ability to Look up a Postal Address has been added to be consistent with Physical Address
- The number of days a Listing has been in Stock will now display on the Listings Dashboard.
- Email Campaign 'View Results' screen has been modified to show a Lead Summary screen when drilling into a Contact Record. If User has access to view the Lead then a 'View Lead' button displays on the Summary.
