Vehicle Appraisal Reconditioning Approval

Overview

A new module has been introduced to complement the appraisal form and the Vehicle Appraisal Manager Approval (VARA) role, offering a dedicated function that enables a separate reconditioning team to approve any necessary remedial work costs identified during an appraisal.

The VARA role has been designed so that it can work alongside or separately from the VAMA role

Provisioning

The VARA module is controlled by a new role, "Vehicle Appraisal Reconditioning Approval"

There are many configurable options in the VARA role



  1. Users. There is a new additional setting for users "Reconditioning Team Member"
    1. User added to role. This pool of users will have their appraisals sent to Reconditioning Team Members specified within the Role
    2. Reconditioning Team Member. This set of users will be notified when a user sends the appraisal for Reconditioning Approval, they can enter 'Actual' reconditioning costs
    3. Managers. This set of users are able to approve the Reconditioning Teams actual costs
  2. Yards
  3. Lead Locations
There are also several Role Attributes to further configure the VARA role



  1. Choose an available Appraisal form that gets sent as a PDF link within the reconditioning teams notifications
  2. Will the VARA role require the appraisal to be approved (VAMA role)
  3. Should this application of VARA be automated upon VAMA Approval

Appraisal Process and Workflow

The sales people within the VARA role will continue to fill out and save an appraisal form as usual, there will be some new items visible within the Reconditioning accordion



  1. Current Progress
    1. Recon Pending
    2. Recon In Process
    3. Recon Awaiting Approval
    4. Recon Manager Approved
    5. Recon Manager Declined
  2. Next Progress

A new step in this process is now to be able to submit the appraisal to the Reconditioning Team Members, this can be found within the 3 dot Menu, under the Reconditioning option



This will send an email out to the users that are in the role and marked as Reconditioning Team Members



Once this is sent, the appraisal will show an Estimate and an Actual reconditioning price option, and the process will have been updated



RECON USER: As a Reconditioning Team Member, they can now access the appraisal and within the Reconditioning accordion, add in Actual figures for the reconditioning items





Once this step has been completed, they are then able to seek approval from the VARA Managers, this is found within the 3 dot menu under the Reconditioning option





RECONDITIONING MANAGER: A user that is marked as a Reconditioning Manager will receive an email




The Reconditioning Manager will then review the Actuals, and via the 3 dot menu under the Reconditioning option, they are able to Approve or Decline the reconditioning 




Vehicle Appraisal Dashboard

To accommodate for the added Reconditioning Approval workflow, there are some new filtering options that have been added to the Appraisal Dashboard
