Single Sign On Access For Group Accounts

AutoPlay has newly introduced (March 2022) the ability for our Dealer Group accounts to have specific users able to log in and operate with a single set of credentials and have the ability to access and edit the data from their Dealer Networks.

To get this enabled for your reporting or group account there are several settings that need to be enabled. These settings are only available to AutoPlay users, so please contact your Account Manager or our support team to enable this for you.

How to set up SSO to a Dealer Group Account


1. Create the Role "Dealer Group Single Sign On" in the parent account.



This role has several configurable options with a Role Attribute to enable access to the Network accounts contact databases, the ability to restrict this to a specific make, and the users that will be able to access the Network accounts.

2. Create a Dealer Group record "Dealer Group Single Sign On"

Within this record, the accounts and the yards within those accounts are able to be selected. This will outline the visibility that the users above have within the network.

To get access to the child dealership settings menus, the SSO user must have manager access in the reciprocal role in the master account for Company Admin, Yard Admin or User Admin. 


What Access do Users get within AutoPlay to the Network Accounts?

When a Dealer Group Level user with the new access enabled logs in, they will have an almost identical view of their current Dashboards, however there will now be a new drop down filter that will enable a Dealership to be selected - Including the parent account that they are logged in to.

Users will now be able to fully Edit and Create Leads and forms as they normally would when logged in to each of the network accounts

Create New Lead Screen
There are some minor differences in the creation screens, a user will be prompted to select the Dealership to create the New Record into, the listing, Type, Source and Campaign fields have also been brought up to the top section. When a Dealership is selected, it will search through the Address Book of that account only to retrieve any similar contacts. If the Dealership is changed in the drop down, the user will be prompted that all data will be discarded. A New look up will need to be done once the new account is selected.

  1. Listings
  2. Lead Dashboard
  3. Communications
  4. Address Book
  5. Appraisals
  6. Appraisal Look Ups
  7. Test Drives/Loan Forms
  8. Wishlists
  9. Write Ups
As part of the 22.9.2 September release, the child dealerships Company, Yard and User settings have also been provisioned for
  1. My Company
  2. My Yards
  3. My Users
A new menu option within the Settings menu has been created for "SSO Settings"



To have access to each of the three menu items above, the SSO user MUST have managerial access in the corresponding Company Admin, Yard Admin and User Admin Roles of the master account.

Appraisal Look Up services are available to a Group User when creating appraisal forms. These are charged back to the account that the appraisal has been created into. A Group User will have access to previous look ups that have been done in that specific account, cross account records are not able to be done.

Collaborators at a Dealer Group level can also be created and set on a lead. These can be either visible or hidden to either the Group or the Network Account and are displayed in their own section within a lead. A new option is available in the Collaborator Admin screen to create these. If a Group account user creates a lead they are automatically applied to the lead. The Account Collaborator section is Read only for Group Users if this is visible, likewise the Group Collaborators are Read only if visible to Network users.



Important points to note for SSO Functionality:
  1. A Lead can not be transferred from one account to another
  2. A Contact can not be transferred from one account to another
  3. Full auditing is maintained on all records updated
  4. Group account Collaborators are not automatically assigned to new leads ingested into a Network account. They are applied though if the lead is entered manually by a Group Account user.
  5. There is no ability to restrict Group Users from using specific forms
