Setting Up Auto Response Templates

In www.autoplayauto.com it is possible to set up Auto Responses to automatically send when a electronic lead is captured. To set up an Auto Response you can navigate to 'Settings>Email Settings>Auto Responses'. You can access the screen if you are set up as a manager in the Company Admin role.

You can search through your Auto Responses using the ID, Yard, Response From, Day fields. You can also sort your records by clicking on the headers to sort alphabetically/numerically.

To download a list of all your Auto Responses you can click on the 'Download' icon in the grey action menu.



You can set up many different Auto Responses to handle automatic replies on different days of the week, in different yards and for different sources of leads. To create a new Auto Response record click on the + icon in the grey action menu. There are several fields that need to be completed to create an Auto Response.

  1. Office Hours Response - Select a template that will be automatically sent to any electronic lead captured during business hours
  2. After Hours Response - Select a template that will be automatically sent to any electronic lead captured after business hours
  3. Use Listing Video - This will enable any captured leads to respond with a template with a Listing Video (where no images exist on the Listing then a standard generic image will be sed from the Auto Response template).  
  4. Email From - Select the user all Auto Responses will be sent from
  5. Yard - Select the yard that will use this Auto Response set up
  6. Source - Choose a particular Lead Source that you want to use this Auto Response set up
  7. Time Settings - Select a Day of the week that you want the Auto Response to be sent. Select from 'Any', 'Weekday', 'Saturday' or 'Sunday'
  8. Opening Time & Closing Time - Set a business hours for the dealership/yard
  9. Enabled - Tick the 'Enabled' check box to turn on your Auto Response. If this is not ticked the Auto Response will not send



If you click on the 'MORE' menu you can Delete or view an Audit of all the changes to your Auto Response record.
