AutoPlayAuto.com 20.5.1 Release Notes - May 12th, 2020

Visitor Book 

Internal Ref: SPW-3495


Due to the COVID-19 effect on the market there is a clear need that has been identified to develop a Visitor Book module within AutoPlayAuto.com. This will enable;
  1. Existing AutoPlayAuto.com customers to record all visitors to the dealership beyond sales activity (i.e. Suppliers, Service Bookings etc)
  2. Existing Dealerships who are not AutoPlay customers to record dealership activity
  3. Non dealership businesses to record visitor activity at their premises
The Visitor Book will become a new Menu item under the Contacts section, and will have a simple dashboard showing all visitors to the Dealership.   Visitor records include;
  1. Two Visitor Types - Customers and Employees 
  2. The Customer record types include Service, Parts, Supplier, Delivery and Other and for Sales Pipeline users this will include Leads, Test Drives and Appraisal records. 
  3. To manage Employees, a new  Employee Check In and Check Out process has been implemented, with each Check In creating a Visitor Book record. 

Role Management
  1. The function is controlled by the newly created 'Visitor Book' role.  Yard, User and Manager settings are available, as well as an attribute 'Exclude Customers From Address Book' which disables the in application customer lookup. 

Using the Visitor Book To Track Customer Movements
  1. If your dealership uses the Sales Pipeline any customer that is checked in on a Lead using the new Check In function will appear.  All Lead records will be visible here whether or not you are a lead manager for that lead, however if you are not a manager in the Manage Leads role you will see a summary, instead of being able to click through to view the lead
  2. Any Visitor Book record created via the Visitor Book or via contactless sign in
  3. Employee check in and out

Contactless Customer Sign In
  1. An easy way of managing your Visitor Book records has been enabled that involves the Dealer displaying a QR Code, that can be scanned by a Visitor's mobile device, which will take the Visitor to a Web Page, where they populate their details.  This will create a record directly into the Visitor Book in a 'Scheduled' state.

Employee Tracking

  1. In 20.5.1 it's also possible for your salespeople to check in and out of the dealership.  They can do this via the new 'Check In / Check Out' button in the top rhs profile menu.

Contactless Signatures on Terms and Conditions

Internal Ref: SPW-3501

The ability to send Terms and Conditions by SMS on Assistance Requests, Write Ups, UK Test Drives and UK DVLA Checks has been introduced.



Allocating Leads

Internal Ref: SPW-3418

An issue had been identified that showed that Leads can be allocated form one Manager to another  who may not have the correct Manage Leads role for the Yard on the Leads.  This has been resolved by ensuring that when allocating  Leads only Users who are in the Manage Leads role for the Yard on the Lead will display. 



Lead Sources

Internal Ref: SPW-3514

There is a pre-defined List of Lead Sources that are available for all Dealers.  In an instance where a Dealer does not want to use one or many of these pre-defined Sources,  the Source(s) can now be deactivated and disabled for use on New Leads for that Dealer only. 


Minor Fixes and Enhancements

SPW-3508 - Issue with removing contacts from AutoPlay Contact List has been resolved.
