How To Update Lead Progress

It is important that you always update where your leads are at in the road-to-the-sale whenever you finish managing a lead.  You can do this using the 'Progress' field.  When updated the 'Progress' shows in the 'Progress' column, and can be filtered using the 'Progress' filter.  The options in the 'Progress' field are based on the road-to-the-sale steps and are an easy way to identify at a single glance where the lead is in your sales pipeline.


When viewing a lead you can update the lead Progress via the 'Progress' field in the Lead Details section, or the 'Progress' icon at the top of the screen (both pictured below).  




Simply tick the Progress items you wish to record the lead having been through.  Please note that ticking a progress step will not automatically back fill all the previous progress steps as at times the customers journey along the road-to-the-sale is not linear - you must tick each individual step to record this progress stage as being completed.  The current and previous progress steps will show as green ticks, whilst the newly ticked options show as red - you must hit 'SAVE' in order to keep your changes.




To delete an existing completed progress step, click on the step until the selection is empty. To re-select a step that's already checked, click on the step until the tick turns red.  Once saved the Progress will roll back to the last Progress item you checked.  When a lead has been through a Progress step multiple times this will be reflected in the Lead Audit, but any reporting will use the most recent time that Progress step was selected.



When updating Lead Progress you also have the ability to add a note which will be added to the Lead Notes.




By default this is an optional feature, but Dealerships can set this to Mandatory for all users, by updating the Mandatory Fields in the My Company screen. 



When you save your changes you'll briefly see the save message in the top right hand side of the screen.  You will also notice that when you update Progress, you will also be prompted to schedule a future follow up event.  This is not compulsory, but it is highly recommended that when you are managing your leads you always "tell us what you did" (update Progress) and "tell us what you are going to do next" (schedule follow up).  If you select "NO" you will return to the View Lead screen and your Progress will be updated.  If you select "YES" you will be taken to the Calendar Event function (click HERE to find out more about managing calendar events)




For certain actions within the Sales Pipeline in AutoPlayAuto.com there are check boxes which allow you to automatically 'Update Lead Progress'.  For example;
  1. Test Drive Form
  2. Appraisal Form
  3. Email Response
  4. SMS Response
It is also possible to update your lead progress in bulk for multiple leads by using the 'Bulk Manage' function.  To find out more about updating the progress on leads in bulk click HERE.
