How To Manage The My Yards Screen

In AutoPlayAuto.com it's possible to set up Yards within your account.  Yards can be physical locations (i.e. Auckland Branch, Wellington Branch etc) or virtual groupings (i.e. New Ford, New Holden, Used Mazda etc).

Yards can be managed via the 'My Yards' screen which can be accessed via 'Settings>Company Settings' if you have the Yard Admin role.  Within this screen you will see any Yards you have in your Yard Admin roles, and you can edit any Yard you are ticked as a manager from.



You can only add a brand new Yard if you are set up as a Manager in the Company Admin role.  Those users can add a new Yard by clicking on the + button in the grey action menu.  Company Admins can also edit the Yards without requiring the Yard Admin Role.


1.  Details
  1. Yard Name - What do you want your Yard to be called (compulsory).  Note this can be pulled through to emails, Standard Text & Response via the @body_yard tag so it is recommended you use your full company name
  2. Short Name - If your Yard Name is too long you can add a Short Name.  This will only show within AutoPlayAuto.com
  3. Code - compulsory field use to enter a short code for your Yard.  Audi New might become 'AN'
  4. VMS ID, Ingest Ref, Export Ref, Lead Ref, Portal Import - allows you to identify ID's to help with importing Listings and Leads


2.  Location
  1. Street, Suburb, City, Region - Your dealership location.  Street is both the street address and the street name i.e. 123 Sample Street.
  2. Map Address, Lattitude, Longitude - If you utilise AutoPlay Vehicle Display Pages, or this data is fed into your own website you can specify the dealership location more accurately using these fields.
  3. Time Zone - Important for date stamping activity with AutoPlayAuto.com
  4. Note - there is no 'Country' field as the Yard will use whatever Country is set up at the Company Level.


3.  Communication
  1. Fields used by AutoPlay when we need to contact the dealership.  Keeping this up to date helps ensure better service from AutoPlay.



4.  Listings (Only relevant to dealers who have the Data Management package)
  1. Listing Type - split into Passenger/Commercial or Machinery.  Controls what fields you see by default when loading a listing to AutoPlayAuto.com
  2. Make - Select a default Make for the yard
  3. Default Comments - Text that is automatically added to every listing in the Yard in AutoPlay when displayed on a AutoPlay Vehicle Display Page, or exported to a 3rd Party Listing site/your website.  Note - Default Comments can also be set at Yard or Export level.
  4. Finance Comments - Text that is automatically added to a Finance calculator or AutoPlay Vehicle Display Pages for listings in this Yard
  5. APSR Detail Page - URL for the 'Detail' page for any yard that is displayed on AutoPlay Vehicle Display Page
  6. Carousel Title - used in AutoPlay Vehicle Display Pages to add a title above your Carousel module
  7. Finance Per Annum - used in AutoPlay Vehicle Display Pages to add a default Finance Rate % for the finance calculator
  8. On Road Costs Included - Setting used to determine if ORC applies to listings or not.  Search our Support articles for "How To Manage On Road Costs" in Data Management>Managing Listings for more info. 
  9. Autobase - NZ only field used to set the export limit for Autobase exports.
  10. Hide From Web - checkbox when ticked will prevent the listing from being exported, showing in Listing API or displaying on AutoPlay Vehicle Display Pages
  11. Exclude From Reports - checkbox when ticked will automatically omit any leads or listings in the yard from reporting within AutoPlayAuto.com and the AutoPlay Reporting Suite.
  12. Stock Is New and Stock Is Demo - Will automatically tick every listing manually created in this yard as 'New' or 'Demo'
  13. Stock Is Commercial - Allows you to specify the Yard as a Commercial yard rather than Passenger.



5.  Email Preferences
  1. Fields used to set the company defaults for email templates used within AutoPlayAuto.com.  Search Sales Pipeline>Settings>Email Settings to find out more about Email Preferences.




6.  Account Preferences
  1. Default Closed Won and Lost fields used to specify which Groups you want to automatically add leads to when they are closed.
  2. User Sort Order - The User Sort Order controls the way that users are displayed in any uUser drop down within AutoPlayAuto.com.  Can be set as 'Last Name + First Name' or 'First Name + Last Name'



7.  Yard
  1. Company ID - shows the unique ID assigned to your AutoPlay Yard
  2. Created - shows the date the Yard was first created
  3. Updated - shows the date the Yard was last modified.


8.  Save
  1. Once you have finished entering all your details click on the 'SAVE' button to save all your changes.

9.  Audit
  1. If you have the Audit role you can run an Audit to view all the changes made to the 'My Yard' screen and which user made them.  The Audit function is available via the grey action menu.


10.  Delete
  1. If the User is a manager in the Yard Admin role they can click on the 'Delete' button to remove the Yard



To ensure Lead Management settings are kept consistent with active  Yards, a change has been made to ensure that when a  a Yard is DELETED a notification will display to show that a Lead Management record exists.
