How To Manage Audio Recordings

In wwwautoplayauto.com it's possible to manage your Audio recordings via 'Settings>Listing Settings>Audio' if you are a manager in the Company Admin or Yard Admin roles. To set up Branded Scripts for your Virtual Demos, or Default Email Audio for your Standard Responses or Auto Responses click on the the + button in the grey action menu.




To create an Audio recording you need to complete the field in the 'Audio' screen.



1.  Type - Can select from various types of Audio recordings; This field is compulsory.
  1. Default Email Audio - Can be used on Standard Responses and Auto Response Emails.
  2. Default Listing Audio - Branded scripts that can be added automatically to your Listing Virtual Demos in absence of a recording for the listing.
  3. General Use - Record an Audio file to use anywhere in the system you need.
  4. Music - Can upload backing music for your Virtual Demo Videos - note AutoPlay takes no responsibility for audio licensing.
2.  Name - Add a label to your Audio record so you can find it when you need to use it. This field is compulsory.

3.  Duration - A read only field that is automatically calculated based on your recorded/uploaded audio.

4.  Signature & TC - Relevant to Toyota NZ Dealers - will ensure the audio record is available on Signature or Toyota Certified listings only.




5.  Yards - If you want the Audio record to apply to only specific yards click on 'EDIT' to select the appropriate 'Yards'.



6.  Status - Set your Audio files you be;
  1. Not Active - Will not automatically be applied to any Listing or Email.
  2. Conditionally Active - Will be automatically be applied to Virtual Demos but randomised with other 'Conditionally Active' records.
  3. Always Active - Will be the only Audio that plays on your Virtual Demo Videos.
7.  Script - Use the script field to type out what you are going to record. You can drag the bottom right of the field to expand it, and a character count is displayed on the top right of the field for reference.

8.  Record Details - See the unique Audio ID, Created and Updated Dates.

9.  Record Audio - Click on the microphone icon in the grey action menu to record an audio file. Click on the 'Record' button to start recording. Your Script will be pulled through to this popup. You can click Pause to temporarily pause your recording (click Record again to resume recording). When you have finished your recording click on Stop and then Play to listen to your recording.



10.  Upload Audio - You can click on the 'MORE' icon to 'Upload audio file'. Please note AutoPlay take no responsibility for licencing - you must have permission to use the audio file. You can upload an MP3 file.




11.  Delete Audio - From the Record Audio popup you can click on 'MORE' and 'Delete audio' to remove your recorded or uploaded audio file.

12.  Download MP3 - You can click on the 'Download' icon in the grey action menu to download the MP3 file attached to the Audio record.



13.  Audit - If you have the 'Audit' role you can click on 'Audit' from the grey action menu. This will show all the changes to the Audio record.

14.  Delete - Clicking on 'Delete' from the grey action menu will delete the entire Audio record. If you want to keep the record but delete the actual Audio file follow the process outlined in (11).

Once you have set up an Audio file it will be ready to use on your Virtual Demo and Emails.
