How To Create A Stand Alone Appraisal Form

How To Create A Stand Alone Appraisal Form

If you have the 'Standalone Appraisal' role enabled you can create Appraisal Forms via the 'Vehicle Appraisal' screen without being attached to a lead.

1.  If the user has the Standalone Appraisal Form role they will see a + from the Appraisal Dashboard to create a standalone form.

2.  If the user has the Standalone Appraisal Form role but is NOT ticked as a manager they will see only their own Appraisal Forms.

3.  If the user has the Standalone Appraisal Form role but IS ticked as a manager they will see the Appraisal Forms for all users they share the role with.

4.  As an extra step before you hit the Appraisal Form you will be taken to the Select Customer screen.  This is the exact same screen as when creating a Loan Car.

5.  On this screen you can;
a.  Manually enter customer details
b.  Search Customer Database - Like the New Lead screen we still need to attached a customer record to the Appraisal.  The user has the option of searching the customer database with the Search Database button.  This function should work exactly as per New Lead behaviour - including showing differences between newly entered data and data already loaded against the customer record.
c.  Scan Licence/Business Card - Scan Licence/Business Card is an alternative way to populate the customer fields from a DL or Business Card.  This should work exactly as per loading a new lead.

6.  Added a ‘Yard’ field above the title which defaults to the users default yard, but shows all the yards they have in the Standalone Appraisal Role in case they don’t have a VAMA role.

As of version 21.2.1 the Yard field has been added as an option in 'Mandatory Fields' within the My Company screen.  When ticked the Yard will be required in order to create a Appraisal Form within AutoPlayAuto.com.  This is not normally an issue for Appraisals attached to Leads as these always have a Yard specified.  However for users with the 'Standalone Appraisal' role the Appraisal may not always have a Yard.  In 21.2.1 if the user who creates the Appraisal has a 'Default Yard' set then the Yard will be automatically populated, and users can also set the Yard manually when creating a Standalone Appraisal that is not attached to a lead.
