How To Bulk Manage Leads (Bulk Allocating or Bulk Close)
With so many leads in your AutoPlayAuto.com Sales Pipeline Dashboard you may need to bulk manage your leads. You can do this via the 'Bulk Manage' menu pictured below provided you have the 'Bulk Manage' role. You can learn more about the 'Bulk Manage' role
HERE.
In order to 'Bulk Manage' you first need to select the listings you want to bulk manage. Use the full range of filters to refine the list of visible leads to those you want to complete a bulk action for.
Next to the search bar you will find a button to 'Show/Hide multi select options' as pictured below. Clicking this button will cause small check boxes to appear on the left hand side next to each of your leads.
You can check each listing individually as you cycle through the pages, or alternatively you can click the 'Select all filtered options' to tick every lead you have currently filtered to.
Once you have selected the listings you wish to manage, open up the 'MORE' option in the grey action menu and select the one of the following options.
- Close Lost
- Allocate
- Update Progress
- Schedule Follow Up
1. Bulk Close Lost
If there are a lot of Overdue or Stall Leads in your dashboard it's a good idea to use the 'Bulk Manage' function to close them all for future retargeting via Live Leads. Clicking the 'Close Lost' option will result in the standard close lost window to appear where you can add a note, select a close reason and add the customers to a contact group. Note - you cannot bulk reopen leads - so make sure you know what you are doing.
2. Bulk Allocate
If a salesperson has been under-performing, or a salesperson leaves the dealership you can either bulk allocate when the User is deleted (see
MORE). Clicking on the 'Allocate' option will allow you to select the User and add some notes to your lead. The User list as always is populated by other users you share the
'Manage Leads' role with.
3. Bulk Update Progress
Its also possible to update your lead Progress in bulk by selecting the 'Update Progress' option. This will load a screen to add notes and select one of the road-to-the-sale steps to update your leads to. The progress item selected here will become the 'Current Progress' for all the leads selected. You cannot undo this in bulk, so make sure this is what you want to achieve before proceeding.
4. Bulk Schedule Follow Up
If you have a lot of Overdue or Stalled leads it can be very useful to schedule follow up for all of these leads at once - which will reschedule the leads so they appear in the 'Now' or 'Future' date ranges. To do so filter to Overdue & Stalled using the Date Range filter and select the 'Bulk Manage>Schedule Follow Up' option. This will open the calendar event follow up window where you can set a date you want to follow up on all your bulk selected leads. Click
HERE to find out more about creating calendar events.
When using the Bulk Update function it now will automatically prompt the user to ask if they wish to update any incomplete events already on the Lead
