AutoPlayAuto.com 20.6.1 Release Notes - July 1st, 2020




The 20.6.1 release will be available from 1st July 2020, and may look a little light compared to other releases.  That's because we've been working on adding functionality to automate our Live Leads eDM's.  We were also busy in the month of June working on the structure to deploy web forms to capture leads, test drives and appraisals both only and via SMS.  Both of these features are sizable pieces of work that will be coming in the following months, but they will mean smaller releases in the interim.


Automatically Update Lead Management Screen With Role Management Settings (SPW-3077)

The 'Lead Management' screen controls the allocation of new leads, whilst the 'Manage Leads' role controls who is able to view all leads for any given user and yard.  Often dealers were getting conflicts between these two screens;
  1. Setting up new users and adding them to Lead Management settings but not adding them to the role
  2. Adding new users to a Manage Leads role but not setting the user up as the recipient of leads for the yard
  3. Adding a new Yard but not setting up new lead management settings or Manage Leads role
To minimize human error we've made several additions to version 20.6.1 of AutoPlayAuto.com
  1. When adding a User to the Lead Management screen the User drop down will ONLY display users that already have the Manage Leads role for one of the yards selected. 
  2. When saving a User in the Lead Management screen if they do not exist in a 'Manage Leads' role for any of the yards selected you will receive a warning to add them to the appropriate Manage Leads role.  
  3. If you are an AP1 user OR you have the 'Role Manager Admin' role you will be able to add your new Lead Manager to one of the existing roles - which will be displayed on a popup.
  4. Here you can add the User to an existing Manage Leads role, view the Manage Leads roles the user is already in or click on 'Create New Role' to create a brand new role.
  5. If you do NOT have the Role Manager Admin role rights then you can view the eixsting Manage Leads roles but you will not be able to add the user to the roles or create a new one.  Instead support@autoplay.co.nz will be notified and will reach out to you to help you with your set up.
  6. When downgrading a User from a manager or removing the user from a Manage Leads role from the Lead Management screen you will not receive any warning at all as it is common to have user who require visibility over leads, but do not want to receive new lead alerts etc
  7. When removing a User from the 'Manage Leads role a warning will be displayed “This user is currently set as the Manager in the Lead Management screen. We recommend you update these settings to reflect the new manager and recipient of new leads”.  This is to ensure that dealerships remember to update the recipients of leads when staff change roles or leave the dealership
  8. When adding a new Yard and saving users will see a message "Your Yard has been created.  Remember to set up a recipient for Leads within this yard, as well as any relevant Role Management settings"





Improvements To Enable Bulk User Creation (SPW-3221)

Setting up new users when on-boarding a new dealership customer can be time consuming.  In 20.6.1 we now have the ability to bulk upload users for AP1 users or dealer users with the User Admin role.  When viewing the 'My Users' screen click on the MORE button in the grey action menu and select USER BULK IMPORT.


To upload a user you must use the approved format.  To download this file click on the 'Download Header' button.  Once you've saved your file as a CSV make sure to close the file to ensure it uploads correctly. 




When you click on 'Import' the users you have created are added to a temporary holding screen.  Here you can;
  1. Edit the details you have uploaded
  2. Add new users manually
  3. Assign roles to the uploaded users as well as ticking them as managers (note the Role Name appears in the dropdown so name your roles in such a way that they can be easily identified).
  4. Assign a Role Group to the user - role groups will be displayed at the top of the list and labelled as 'Role Profile - Role Group Name'
Once you are happy with all the changes you can opt to 'Save For Later' or click 'Import Now' to import your users.




Added Fees To Australian Write Up Form To Handle Transfer Fees, Stamp Duty And Luxury Tax (SPW-1631)

In 20.6.1 it's now possible to configure Fees by Country.  This has enabled Australian customers to add Fees to their Write Up Forms.

AutoPlay has set up fees for Luxury Tax, Stamp Duty and Transfer Fee's for all Australian dealers to use.  Note AutoPlay will NOT calculate the Stamp Duty or Luxury Tax automatically - this must be done outside of AutoPlay.  As such the default Fees have been set up to be able to be added to the Write Up Form for Australian dealers withouyt any price applied.

If you wish to create your own fees this can be done via the Write Up Fees screen (contact AutoPlay Support for assistance).   If Fees are set up in a dealer account they can be set to automatically apply on every Write Up Form you create.  Fees can be used for any additional fee you want to display and can also have $ figures added.




Exclude Individual Leads From Automation Activity (SPW-3618)

We've now added a manual check box to 'Exclude From Automation' on the View Lead screen.  Checking this box on an individual lead will stop any automation activity that would normally trigger on the lead for the duration it is ticked.  When unticked if the automation trigger is met, it will begin triggering the automation actions again. 

For example the dealership might have a automation rule stating that if any lead falls into Overdue it will trigger an email to the Sales Manager.  If this box is checked it will NOT trigger the email, but as soon as it is unchecked if it meets the criteria to trigger automation it will resend the Overdue email if the lead remains in that state.

Please note that the check box ONLY applies to the selected lead.  If the customer has multiple leads the automation trigger may still occur on other leads unless the 'Exclude From Automation' check box is ticked on all of the customers leads.





Assorted Bugs & Improvements

  1. When Listing Year updated it now will automatically update the Fact Card generated (SPW-3652) 
  2. When reopening previously 'Closed Won' leads it will now effectively clear the 'Sold' date from reporting (SPW-3632)
  3. Renamed 'Allocated To' to 'Manager' on the Lead Management screen dashboard (SPW-3460)
  4. Fixed a bug when viewing an Appraisal Form after navigating from a Lead it was taking the user back to the Appraisal dashboard instead of the View Lead screen (SPW-3590)
  5. When adding Yards to an Export or Import in AutoPlayAuto.com it now records these changes to the Audit (SPW-3559)
  6. Keyword search on Data API screen now searches for the portal name (SPW-3647)
  7. You are now warned when a User is removed from a role BUT still has leads under their name.  This ensures that the manager(s) for a role do not lose visibility of any leads in their yards - allowing them a chance to reallocate leads before removing the user from the Manage Leads role (SPW-3553)
  8. When removing a User from the 'Manage Leads role a warning will be displayed “This user is currently set as the Manager in the Lead Management screen.   9. Added 'Account Manager' back into Select Client and Client List screens (SPW-3363)

  11. Australian Dealers will now receive AutoPlay lead SMS from a dedicated SMS number (SPW-3638)
  12. When running a MotorWebAU vehicle lookup if the Model matched is not available in AutoPlay it will still import the rest of the fields as well as warning the users that the model did not match a valid model in AutoPlay (SPW-3674)
  13. Added Yard ID column to the Data API Management screen 'Download' function (SPW-3680)
  14. When viewing multiple pages on the Dashboard then opening a lead, upon closing the lead you will be returned to the last page you viewed rather than page 1 of the results (SPW-3711)
  15. Added a Role Attribute to the Test Drive Kiosk Role to 'Enable Vehicle Registry'.  This bypasses the privacy restrictions for a Test Drive Kiosk User and allows the display and loading of Loan Car Forms (SPW-3730)
  16. Fixed a bug where the Lead Title header was not updating the Variant if this field changed AFTER the vehicle was added to the lead (SPW-3733)
