AutoPlayAuto.com 19.3.0 Release Info - 15th August 2019

On 15th August 2019 we released version 19.3.0 of AutoPlayAuto.com.  Included in this release was;

1.  Appraisals Now Compatible with Boats and Motorhomes
The Appraisal and Wishlist Forms now have a drop-down for 'Type'.  The 'Type' will default to whatever is set up under the 'Listing Type' field in the My Company screen



If you choose 'Boats' you will see the fields relevant to Boats in the 'Specifications' section incl Propulsion, Engine Type and Engine Hours.  In additional there will also be space to record dimensions and Make and Model etc will be free text instead of displaying the Car Make and Model lists.



If you choose 'Motorhome/Caravan' you will also have free text Make, Model and Body Type, along with a custom Feature List to suit Motorhomes/Caravans (click on the EDIT button next to Features in the Appraisal screen to view the modified feature list.






2.  Wishlists Now Compatible with Boats and Motorhomes

As with Appraisals its now possible to create Wishlists for Boats and Motorhomes as well.  Selecting Boat or Caravan will cause the Make and Model to become free text, as well as provide additional matching criteria such as 'Propulsion', 'Engine HP' and 'Construction Type'.  Please note that when matching by Make and Model you must ensure these have been typed in consistently throughout the account.





3.  Creating & Completing Calendar Events Populate To Notes
In the 19.3.0 release we corrected an issue where creating or completing calendar events were not displaying in the Lead Notes field.  In addition when marking a calendar event as Event No Show it will now display along with the reason.





4.  Added 'Any Sales Person' When Searching The Vehicle Appraisal Dashboard
In the Vehicle Appraisal dashboard added 'Any Sales Person' to the search drop down.





5.  Changed Label On User 'Default Yard' To "No Default Yard"
In the User screen when no yard is selected in the 'Default Yard' field it now displays "No Default Yard" instead of "Any Yard"





6.  Allowed Company Admin Role Users To Create Yards
Company Admin Role now also gives permission to create Yards.  A User with just the Yard Admin role alone will not be able to create a new Yard.  You can only add a brand new Yard if you are set up as a Manager in the Company Admin role.
  1. Those users can add a new Yard by clicking on the + button in the grey action menu.
  2. Company Admins can also edit the Yards without requiring the Yard Admin Role.
  3. Company Admins can also Delete the Yards without requiring the Yard Admin Role.



7.  Added Special Offers Descriptions To View Listing Popup
The Special Offers banners will show on the View Listing popup (visible when you click on the Listing when viewing a lead).  The Special Offers set up will display on the top of the View Listing popup.  If you click on the Incentive it will display a drop down with the Special Offer that is available on the selected listing.





8.  Removed Studio Admin, Data Admin & Basic From The Search Filter On User List Screen
The old 'Studio Admin', 'Data Admin' and 'Basic' options from the User drop down on User List.  Now shows 'Active Users', 'Any User Type', 'View Only', 'No Access' and 'Deleted'.






9.  Made 'Display As New Lead' Option Visible To Non AP1 Users
Within the 'Lead Campaigns' screen under Settings>Sales Pipeline Settings the 'Display As New Lead' check box is visible to all users instead of just AutoPlay staff.






10.  Capture Wholesaler Replies To SMS 
If you have the SMS Gateway option set up (additional charges apply) then you can send Wholesale SMS from the Appraisal screen regardless of the device you are on.  In 19.3.0 it will now capture the Wholesalers SMS reply as well and generate a Notification within AutoPlayAuto.com.  Note - this will only work if you subscribe to the SMS Gateway service. 





11.  Improved Display Of Listing Views In Live Leads 
When you click on 'View Results' in the Email Campaign screen you will be taken to the 'Email Campaign/Live Lead Results' screen.  Within this screen is a blue + icon that has an option 'Listings Viewed'.  This popup now handles the display when a recipient has viewed the video for a particular listing multiple times.





12.  Added User Title To Lead History Popup 
We've now added the Users Title to the 'User' column in the Lead History popup.  The Lead History button can be viewed from the calendar icon in the grey action menu via the 'History' option.  This popup displays whenever a user opens a lead to view, when it was first viewed, when progress was updated, emails sent and more.





13.  PPSR, Motorweb & Other PDF's Now Open In A New Browser Tab
We launched AutoPlayAuto.com with all PDF's opening in Google Drive to assist with printing and saving the PDF.  We have since recieved a lot of feedback that this process was confusing to our users, and as such we've made a change to simplify the process.  When you generate a PDF now it will just open in a new browser tab as a PDF, and you can use the normal browser controls to save the PDF and print if required.



14.  Setting To Make Assistance Request Form T&C's Mandatory 
It's now possible for AutoPlay to make it mandatory to sign Assistance Request T&C's if the OEM requires.  This is set at 'Make' level in some backend settings and is not visible to the Brand/Group/OEM or Dealer Accounts.  When the setting is activated the system will not let a dealership user complete the Assistance Request Form without first signing the T&C's



15.  Automated Privacy Disclaimer Email 
Privacy is becoming more and more of a hot point in the automotive dealer space so it's important that you inform your customers of your Privacy Policy.  AutoPlayAuto.com has a built in function to display the Privacy Policy when manually loading a new lead, and this can be set as compulsory in Settings>My Company>Mandatory Fields.  However in AutoPlayAuto.com we have incorporated a new function that will automatically trigger a privacy email or SMS whenever a new lead is loaded or captured to AutoPlayAuto.com.  The aim of this email is to share a link to your full privacy policy on your website.  The intent is to ensure that you always know that the privacy policy has been shared with every customer no matter what your sales team do or do not do.
  1. Will trigger when any lead is manually entered, captured from an email or submitted via an API (AutoPlay or other).  
  2. Will not trigger when leads are imported in bulk via the 'Import Leads' function from the Dashboard
  3. Is triggered to send immediately upon lead creation and will trigger for each new lead loaded under that customer record
  4. Will not trigger more than once on a lead unless manually prompted
  5. Triggered regardless of whether the Privacy Policy or Opted In/Out options are specified
  6. Will trigger only on new leads created after role set up
The functionality will NOT be turned on by default.  To activate the Privacy Disclaimer Email several steps must be taken.

1. Set up the 'Privacy Disclaimer' Role.  This role is a Dealer level role. Enables the following;
- Privacy Disclaimer section on Company Details screen.
- Privacy Disclaimer section on Yard Details screen (will take precedence over the settings in the Company Details screen).
- Privacy Disclaimer Email Type on Standard Response screen.

2.  Set up the functionality within the Company/Yard screen;
- Privacy Disclaimer Delivery Method - choose from either Email, SMS, Email Then SMS, SMS Then Email
- Privacy Disclaimer URL - enter an external webpage URL that can be utilised in your Privacy Disclaimer email
- SMS Send Schedule - As SMS is more intrusive you can set blackout periods for when you do not want to send an SMS.  An SMS will queue until the blackout period has ended.



If you select Email it will attempt to send an email privacy disclaimer only.  The customers Email field must be populated - if it is not it will trigger as soon as this field is populated (provided it has not already been sent)
If you select SMS it will attempt to send an SMS privacy disclaimer only.  The customers Mobile field must be populated - if it is not it will trigger as soon as this field is populated (provided it has not already been sent and is not during the SMS blackout period)
If you select Email Then SMS it will first attempt to send an Email privacy disclaimer.  If the Email Address is not populated then it will attempt to send an SMS.
If you select SMS Then Email it will first attempt to send an SMS privacy disclaimer.  If the Mobile is not populated then it will attempt to send a Email.

3.  The final step is to create a Standard Response via Settings>Email Settings>Standard Responses.  
- Select the Type=Privacy Disclaimer
- Select a Email Template, give your response a title, Subject Line
- Enter a Message to appear in your Privacy Disclaimer email.  You can type in a URL or type in '@[PRIVACY_DISCLAIMER_URL] to pull from the Company/Yard fields
- If you are sending an SMS instead you will still need to set up the Message field and choose an email template.  The SMS sent will link to your email template, which should then link to the online Privacy Policy URL.
- You can set up your Privacy Disclaimer for one, multiple or all Yards.  You also have the ability to set up Privacy Disclaimers by Make if you require a different response for each Make.  If you are a multi franchise dealer and your brand wants to enforce this Privacy Disclaimer it can be set up for that brand only via the 'Make' field - ensuring only leads qualified to that Make will receive the Privacy email.  If a lead is added with no listing it will not trigger the email/sms until you manually re-trigger this after adding a listing.



Once triggered the Privacy Disclaimer Email or SMS will show in the Communications section of the View Lead Screen.  In addition it will display under the Communications section on the customer record screen.  If it has not been sent successfully you will see a warning icon here.  To manually resend the Email/SMS open the record and click on the 'RE-SEND' button located at the bottom right of the screen.






16.  Clearer Labels On Sliders In Australian Appraisal Form
We've added "Yes" and "No" labels to the sliders in the Australian Appraisal Form (under the Disclaimer section)





17.  Added A Reply To Field In Email Template Screen
We have now added a 'Reply To’ field in the Email Template screen.  This is a text field to add email addresses for certain email templates to ensure that for every email sent using that particular template, the customers reply email could be sent to the nominated email addresses.  This is just the actual email reply – not Notifications or the captured reply.
  1. Having it as a text field ensures it does not have to be a user in AutoPlay
  2. It would handle multiple email addresses – unlike the From which needs to be sent from one user
  3. The reply to could reply to the From User by default, but if an email is entered into the Reply To field it would send to them instead
  4. This is distinct and separate from where the reply is captured to on the lead within AutoPlay – which goes to the current lead owner
  5. This is distinct and separate from the Notifications which go to the current lead owner, and depending on the setting can go to the lead owners managers (James is going to walk you through this).





18.  Sticky Pagination
When viewing any Dashboard type screen in AutoPlayAuto.com it displays only 25 records at a time (to ensure fast loading).  In 19.3.0 when you navigate to a Lead/Appraisal/Loan Car etc when you close and navigate back to your Dashboard it will automatically remember what page you were previously viewing (for example it will return you to page 5 of 7).



19.  Notes Fields Now Can Display Clickable Links
The Notes fields within AutoPlayAuto.com are now capable of storing HTML links to emails or web pages that are often included in the message body of captured email enquiries.





19.  New Drivers Licence Scanner Provider Available In Australia
Our current OCR (Licence Scanning) provider was having difficulty with Australian Drivers Licence Scanning.  As of 19.3.0 we now have a second provider available in BETA testing.  In Australia we have had feedback it is a significant improvement in speed and accuracy, however we are still trialing with a few dealers before making this the default scanner.  If you are having issues with scanning Drivers Licences in Australia please contact support@autoplay.co.nz and we will set you up with the new OCR provider.  In NZ we are still testing to ensure accuracy is better than the current provider.



20.  Rebuilt Several Admin Screens From Silverlight To AutoPlayAuto.com 
Each sprint we move closer to being able to turn off the old Silverlight system by rebuilding a lot of the backend Admin and front end Settings screens.  This sprint we rebuilt;

  2. Listing Admin>Makes
  3. Listing Admin>Models
  4. Settings>Email Settings>Email Modules
  5. Settings>Email Settings>Customer Profile Items
  6. Settings>Email Settings>Customer Profile

21.  Assorted Bug Fixes & Improvements
There were also a number of small bug fixes resolved from the AutoPlayAuto.com launch
  1. Tightened role management permissions around editing "Brochureware" yards
  2. Corrected behavior when loading a Standard Response it wiping SMS Intro text
  3. Limited warning notification when leaving screens without saving after not making any modifications
  4. Resolved error adding or modifying new Calendar Events
  5. Stopped field validation requirements when closing an account in AutoPlayAuto.com
  6. Fixed bug preventing the Customer Profile Role from being acknowledged
  7. Corrected an error that was causing the Appraisal PDF to not render within AutoPlayAuto.com when there were too many characters in the uploaded image url's.  Set a new limit of 40 images for Appraisal images
  8. Resolved a layout issue on the User section in the View Email screen
  9. Tightened a role management loophole treating any user ticked as a 'Manager' as a manager in all roles they are included in
  10. Ensured searching in Dealer Group screen makes any html characters safe before submitting a search
  11. Stopped 'Deleted', 'No Access' and 'View Only' users from displaying within the KPI Targets screen
  12. Stopped 'View Only' users from displaying in any user drop downs throughout AutoPlayAuto.com
  13. Locked 'Country' field in My Company & Yard so that it was uneditable to anyone except AP1 users
  14. When deleting an individuals In Market Lead settings it will now correctly roll back to the Dealership Accounts In Market Lead settings
  15. Better handling of visibility of test Leads loaded in dealer accounts by AP1 users
  16. Added Users Code and VMS Code the the Download Export on My Users screen
  17. Copied old info from 'Web Bio' field (now defunct) to new 'User Notes' field
  18. Fixed bug with Lead Progress Report in OEM/Group accounts returning 0 results
  19. Added a warning message when uploading a CSV of Prospect records stating ‘You can upload CSV files in the specified format only. You can download the format via the 'Download Header’ below'
  20. Leads marked as 'Sold' then 'Closed Lost' will now correctly wipe the 'Sold' flag from the Lead Record
  21. LHS Nav menu now extends as you scroll down the screen
  22. Default Landing Page was not always applying on smartphone and tablet
  23. Standard Response screen updated to allow use of multiple sources functionality
