Creating a Fleet Quote From a Lead
- Open or Create a Lead
- From either the Communication icon on the Lead or the Fleet Quote section, add a new 'Fleet Quote'. (See the guide Fleet Quote Builder - Settings for options on adding a Fleet Quote)
- The below outlines each available section on the Email - note what options display are based on the modules that are selected.
Creating a Fleet Quote From a Listing
- Open or Create a Listing.
- From the '+' Icon select 'Fleet Quote'
AutoPlay can now configure your Fleet Quote to appear as an email, or as a 'form' similar to a Test Drive Form. This is achieved via an attribute on the Fleet Quote Builder role. Ticking the 'Show In Communications Section' will treat your Fleet Quote as an email, whilst if this is unticked the Fleet Quote will appear as a form.
LISTING
- By Default the Primary Listing of the Lead or the Listing is pulled across. If there is no Lead Listing or you wish to change the Primary listing then click 'SELECT'. This will display your available 'YARDS' from which you can select listing.
- The Camera and Image icons under the Listing image give you the option to change the Primary Listing Image, by taking a new image or uploading a new Image.
- When changing the number of Vehicles the 'Total' value will update with the value of 'Number of Vehicles' multiplied by 'Price or Special Price if one exists'.
- On Road Costs is always manually entered
- Dealer Concession ($ and %) can be manually entered. If a Special Price is entered in the Listing then this will be populated with the value of 'Price' less 'Special Price' and the Dealer Concession is calculated as a percentage.
- Manufacturer Concession ($ and %) can be manually entered
- Other Listings can be added by clicking the 'ADD' button. Where 'Other Listings' exist on the Lead these will display with the additional option of Selecting new Listings.
DETAILS
- Select 'Template' (See the guide Fleet Quote Builder - settings for creating Email Templates)
- Option to 'Update Lead Progress' - if ticked this will update the Progress to 'Email Sent'
- 'From', 'Email To' and 'Name' are pulled through from the Lead, but can be edited or overwritten as required.
- 'Message', 'Conditions Message' and 'Closing Message' are manually entered with the option of adding Standard Text
- There is now the ability to add a subtitle to each vehicle being quoted on and a text commentary field to each listing
ADD/EDIT ATTACHMENTS
- From this section the user can choose to;
- Add any Form documentation from the Lead e.g., a Test Drive or Appraisal, and add the 'Primary Listing Fact Card'
- or Upload a .pdf, .jpeg or .png file
MODULES
The Modules that display are based on those that are selected when creating the Email Template. (See the guide
Fleet Quote Builder - settings for creating Email Templates). These can be selected/de-selected to add/remove these sections from the Email as required.
ADD/EDIT ACCESSORIES
Accessories are added by clicking the 'ADD' button, with the option of entering a Concession with either a $ or % value. When one value is entered the other will automatically calculate.
ADD/EDIT TRADE IN
Where an Appraisal exists on the Lead this can be added by clicking 'SELECT' The Details and value of the vehicle is pulled into the Email. These can be over-written and additional Reconditioning Items can be added.
EDIT FINANCE QUOTE
It is also now possible to enter Finance Quotes per listing instead of a total for the entire Fleet Quote. The new fields include;
- Finance Per Month ($)
- Based On Deposit ($)
- Term (Months)
- PPSR ($)
- Dealer Origination Fee ($)
- Admin Fee ($)
- Disclaimer
TOTAL
These values are all automatically populated based on the values entered into each section.
SAVE AND SEND
- On click of 'SAVE' the Fleet Quote is saved in an editable state, and can be previewed and modified as required.
- Note saved records are accessed from either the 'Communication' or 'Fleet Quote' sections of the Lead, depending on how the Role Management has been configured.
- On 'SEND' the Fleet Quote is no longer editable.
When viewing the email each listing will be presented in it's own quotation table with a total at the bottom of the email.
